High School Registrar

We are seeking a high school registrar to be a part of our school administrative team. Job responsibilities include:

  • Maintain physical and computerized files, documents, and student records including student cumulative folders, progress reports, class rosters, schedule changes, attendance records, and permanent records of grades.
  • Generate, distribute, and collect enrollment agreements and financial aid applications, and serve as the primary point of contact for student tuition accounts.
  • Serve as the interface to the school’s online education platform. Update platform information on a termly basis with rosters for all courses and information about where and when the course meets.
  • Make changes to student enrollment information as needed in a timely manner throughout each term.
  • Interpret and evaluate transcripts of incoming students for the purpose of transferring grades and semester credit hours into Quest Forward Academy’s information system.
  • Compile a variety of reports and recommendations (year end reports, progress reports, report card, transcripts).
  • Coordinate PSAT, ACT Plan, SAT, AP and other yearly standardized testing.
  • Prepare and modify master/student/teacher schedules.
  • Process information requests from students, parents, other districts, colleges/universities and/or employment agencies.
  • Coordinate the assessment process, including processing of progress reports, verification and correction of grades, and printing and distribution of progress reports.
  • Attend meetings/trainings as assigned.
  • Process and transmit requests for student information, including student transcripts for colleges and universities.
  • Additional duties as requested.

The ideal candidate will have experience and training as part of an educational administrative team, a positive attitude, and abilities to maintain confidentiality, meet deadlines, work with detailed information/data, and work under limited supervision. The candidate must have proficiency in Google Suite, MailMerge, Microsoft Excel, and excellent database and spreadsheet skills. An ability to speak Spanish is highly desired.

High School Counselor

We are seeking a high school counselor to be a part of our school administrative team. The school counselor provides general counseling and guidance support to students at Quest Forward Academy, including college and career pathways support, college guidance counseling, career guidance counseling, and academic advising.

Duties and responsibilities include:

Academic and Post-Secondary Planning

  • Collaborate with students to develop their four-year plans
  • Track credits and progression towards graduation
  • Yearly scheduling and planning
  • Advise students on course selection and outside academic opportunities
  • Collaborate with students to develop and achieve goals related to post-secondary planning
  • Coordinate standardized testing related to college and career

External Communications

  • Serve as point person for interactions with local community colleges for dual enrollment or career education
  • A-G Course Management with UCOP

College and Career Counseling

  • Conduct workshops and parent nights related to post-secondary planning (such as College Nights, FAFSA workshops, Career Days)
  • Provide resources related to college (scholarship info, college search engines, deadlines, letters of recommendation)
  • Collaborate with university and college admissions representatives to ensure a smooth application process for QFA students
  • Organize college visits (both offsite and on campus), College Fairs
  • Support implementation of Opportunity Education Pathways Program, which provides Quest Forward Academy students counseling support and life skills development at every step of their journey through high school — and up to six years into college and career
  • Create and facilitate learning activities related to career exploration:
    • Coordinate with Internship Coordinator
    • Administer career discernment exams (ASVAB, Kuder Navigator)
    • Teach workshops in MTBI, SSD, StrengthsFinder, etc.

General

  • Work with School Social Worker to develop and implement IEP and 504 plans for students
  • Work with students and third parties, such as standardized exam administrators, to ensure that students needing accommodations receive them
  • Other duties and responsibilities as may be required

Requirements

  • BA / BS degree, M.Ed. or equivalent preferred
  • California PPS Credential and/or professional certificate in College Admissions and
  • Career Planning
  • Excellent communication and writing skills
  • Excellent organizational skills
  • Ability to handle confidential information with discretion
  • Desire to work with Mentors and Staff to a create positive, innovative learning
